POSITION SUMMARY: As part of the Y-Haven Operations Team, provide care for Y-Haven residents and coordinate care to ensure effective program operation. The Operations Administrator is responsible for coordinating a range of Y-Haven housing and operation services aiming to provide a safe and secure living environment for Y-Haven residents.
Essential Functions
- Perform regular room checks of 100+ resident rooms looking for banned items, paraphernalia, contraband and cleanliness in client living quarters.
- Manage Y-Haven medication “pick-up service”. Provide pick up and drop off service of medications between pharmacy and facility at least twice weekly and as needed. Enter medications into the Electronic Medical Record (EMR) and create medication logs. Inform Y-Haven Case Counselors of medications arrival and ensure medications are properly stored.
- Manage donated food distribution for Y-Haven. Activites include: drive to pick up food from donor, organize residents to transport food from parking lot to Y-Haven, organize residents and staff to handle food distribution, organize food area clean-up.
- Serve as Y-Haven’s Emergency and Safety Drill Administrator. Logs drills and incidents and provide electronic updates to forms for Safety Officer. Provide monthly check of crash bags and first aid kits.
- Serve as Y-Haven Resident “Chore Monitor”. Work with program participants to ensure they have been assigned a chore and that it is completed daily. Ensures that supplies and access to chore items is prepared and accessible.
- Serve as Veteran’s Administration Liaison for recording weekly food safety logs, monitoring residential unit requirements, and providing medication tracking. Provide documentation of weekly inspections for quarterly and annual inspections of these areas.
- Conduct monthly facility safety checks (smoke detectors and fire extinguishers)
- Administer, observe and interpret urinalysis and breathalyzer testing particularly as part of the admissions process.
- Drive Y-Haven Van on as-needed basis transporting Y-Haven participants to and from events (no CDL required).
- Monitor and report vehicle maintenance schedules. Schedule service and inspections as needed and based on maintenance schedule for up to 3 vehicles.
- Provide support to Daytime Resident Monitor with daily tasks as needed including welcoming and directing vendors, case managers and other visitors to Y-Haven, overseeing resident / visitors arrivals and departures, answer main line phone calls, sort incoming mail and packages, verify status of participants for delivery and distribute to clinical staff for residents receipt.
Additional Functions
- Administer First Aid, CPR, AED and Narcan as needed to residents of Y-Haven
- Ensure all safety and risk management procedures are adhered to; report any unusual or unsafe conditions to Director, Operations.
- Report low supply levels to Director, Operations according to par levels provided.
- Monitor Y-Haven facility for unusual conditions report to leadership.
- Ability to offer support to residents by listening to, interacting with, respecting, showing interest in, holding accountable and caring for each individual.
- Monitor residents and maintain compliance of rules & regulations (document all infractions).
- Monitor behavior that may indicate drug/alcohol use.
- Report and record resident incidents / disturbances.
- Monitor and record resident medications, as needed
- Attend required Y-Haven and YMCA meetings and trainings.
- Other duties as assigned by supervisor.
- Responsible for following the child abuse and neglect reporting process including completion of Suspected Child Abuse/Neglect reporting form, calling children protective services (696-Kids) and notifying your immediate Supervisor, Branch Executive, Risk Management and Human Resources Department (s). All employees of the YMCA of Greater Cleveland are mandated reporters for any signs or suspicion of child abuse and neglect.
QualificationsEducation:
- High School degree or GED required; Associate Degree preferred.
Experience
- At least one year work experience with drug and alcohol addiction and/or 12-step recovery programs required.
Certification(s) And Requirements
- CPR and First Aid certification and Safety training required within 90 days of hire.
- Valid Driver’s License (Ability to be covered under the YMCA of Greater Cleveland Insurance)
- Must be Narcan certified within first 30 days.
- Chemical Dependency Counselor Assistant license preferred.
- Required to attend all Y-Haven and YMCA meetings and trainings.
- Must have a valid Ohio Driver’s License.
- Must be able to pass a department of motor vehicle check per the YMCA of Greater Cleveland Insurance company.

- Ability to read and write and understand written instructions.
- Must have basic computer skills, using Microsoft Office applications.

- Ability to work effectively work with people of different backgrounds, abilities, opinions and perceptions.
- Must have excellent customer service skills. Ability to perform multiple tasks successfully.
- Must have general knowledge of motor vehicles operations and maintenance.
Physical Demands
- Must be able to perform a frequent amount of sitting, standing and walking, reaching, stooping, kneeling, bending and lifting.
- Must be able to frequently lift and/or moving up to 50 pounds.
Work Environment
- The noise level in the work environment is usually moderate to noisy.
May be required to work outside and on occasion may encounter inclement weather
